Every app in this category reads a flat, printed, well-lit receipt, so that is not the decision. The decision is what happens after the scan: whether line items, tax and currency come out as usable fields, whether the data can leave in a form your accountant or accounting software accepts, and how many scans a month you get before paying. The catalog's receipt scanning shortlist, the wider expense tracking list and the expense management category cover business tools and the consumer apps that turn a photo into a transaction.

Prices and limits come from vendor pages we fetched for this post; the cards are live catalog listings.

What the "AI" does on a receipt scanner

A scanner does three jobs: it straightens the paper in the photo, reads the characters (the OCR step), and decides which characters are the merchant, date, total, tax and line items. The third step is where the "AI" claim lives: older tools matched templates, newer ones hand the image to a vision model and ask for structured output. ScanRelief, a desktop app that watches a folder of receipt images, does this literally: each file goes to OpenAI's API on your own key, which the vendor puts at roughly half a cent per receipt. WiseOCR sells the same step alone: JSON per page, Make and Zapier hooks, credit packs from $9. Categories, card matching and reports come after, where the plans split.

Where OCR fails, and why

  • Handwritten tips. The check prints the pre-tip total; the tip and new total are handwritten. Most engines read the printed number, so the expense is recorded short.
  • Faded thermal paper. Receipts lose contrast in a wallet or a hot car; 8s become 3s and decimal points vanish. Scan them the week you get them.
  • Currency. A "$" can be US, Canadian, Australian or Mexican; European receipts use a decimal comma. Converting needs the rate on the receipt date: TaxLens says it detects 30+ currencies and converts at historical rates, SparkReceipt lists 190 currencies, Veryfi's API 91+.
  • Tax lines. VAT included in the price, several rates on one receipt, and "tax" versus "service" lines are read inconsistently. ScanRelief names only date, amount and vendor as extracted fields; TaxLens pulls the tax amount out separately.

What to check before paying

  1. Line items or just the total. Itemized extraction is often paid: SparkReceipt only on Elite, Dext 5 documents a month and then $0.50 each or a $20.50 monthly bundle, Zoho Expense from Standard. If a total and a category are enough, do not pay for it.
  2. Tax as its own field. Reclaiming VAT or deducting sales tax needs the tax amount as a separate number.
  3. Export and accounting sync. CSV is the floor. QuickBooks Online and Xero connections are usually gated: Shoeboxed from Pro, Expensify only in a paid workspace, SparkReceipt from Pro. Clint and Vossa mention no export at all.
  4. Mileage. Zoho Expense includes GPS mileage on its free plan, Shoeboxed on every plan, SparkReceipt on Pro, Expensify on free personal accounts, Xero only on Established.
  5. How receipts get in. Camera, email forwarding, a watched folder, WhatsApp or a connected mailbox, which Wellybox and Clint read: least effort, biggest privacy question.

Free tiers, and what they are for

Expensify's personal account gives unlimited SmartScans, CSV export on the web and mileage; categories, tags and accounting integrations need a paid workspace. Zoho Expense's free plan is a real small-team plan: 3 users, 20 autoscans per user a month, 5 GB of storage, GPS mileage and multi-currency. Consumer apps cap transactions instead: Vossa allows 15 a month and keeps scanning for its $3.99 Premium; AI Money gives 2 receipt scans a month free, with ads, and 10 a day on Pro; Receiptix is free to start, with neither the cap nor the Pro price published.

The business tools mostly have no free plan: SparkReceipt (7-day trial), Dext (14 days, no card), Shoeboxed (30 days; "Shoeboxed is not free", says its FAQ), Wellybox (length not stated). Veryfi's API is the exception at 100 documents a month free.

Where your receipts are stored

A receipt carries card digits, a pharmacy's itemized list or a home address. Vendor pages show three storage patterns.

On your device: TaxLens keeps data on the phone or in your iCloud; ScanRelief leaves files on your disk and sends each image to OpenAI, which the vendor says does not train on them; AI Money keeps the ledger on the phone and discards the photo.

In the vendor's cloud: SparkReceipt's security page names AWS in Frankfurt with a backup in Stockholm, encryption in transit and at rest, up to 30 days in backups after deletion, and no training on your documents by OpenAI, Mistral or Google. Receiptix uses Google's cloud, encrypted; WiseOCR deletes uploads after processing by default.

In your inbox: Wellybox reads a connected email account back 12 to 48 months depending on the plan; Clint says it runs "exactly one search query" on Gmail, for messages containing invoice, receipt or fatura, and had that access scope audited. Read those terms before connecting a mailbox that holds everything else.

Test with your own ugly receipts

Skip this morning's crisp supermarket receipt and collect ten bad ones: a faded thermal strip, a check with a handwritten tip, a foreign-currency receipt, a long grocery receipt, a crumpled one, a PDF invoice, an email receipt, one with a discount line, one with VAT included, and a duplicate. Scan all ten and check five fields on each: merchant, date, total, tax, currency. Export to CSV and open it; if you are paying for an integration, push one expense through to QuickBooks or Xero and see which account it landed in. The number you had to correct is the number that matters, and the duplicate shows whether the app notices.

Which to pick

  • Freelancer who needs an export at tax time: SparkReceipt Pro, or TaxLens on iPhone if the data should stay there.
  • Small team with an accountant: Dext or Shoeboxed for the integrations, Zoho Expense if three users are enough.
  • Never want to photograph anything: Wellybox or Clint, after reading their inbox terms.
  • Building scanning into a product: WiseOCR at small volumes, Veryfi past its $500 monthly minimum; the catalog's OCR list has the rest.
  • Personal spending by chat: Vossa, AI Money or Rolly, which keep scanning for a paid tier or cap it.
  • The books, not just the receipts: Xero starts at $27 a month with document capture on every plan; expense and mileage claims are on Established only.

Questions people ask

Is there a free AI receipt scanner?

Yes, with caps. Expensify's personal account scans without limit but cannot sync to accounting software; Zoho Expense's free plan gives three users 20 scans each a month; Clint's has 40. Vossa and Rolly keep scanning for paid tiers; AI Money allows two a month free.

How accurate is receipt OCR?

Good on a flat, printed receipt: WiseOCR quotes "over 98%", with its own caveats of high-quality images only, discounts excluded and worse on poor scans. Faded thermal paper, handwritten tips and mixed currencies are where errors cluster; ScanRelief's page says it plainly: "Always check the extracted data."

Can a receipt scanner export to QuickBooks or Xero?

Many can, usually on a paid tier: SparkReceipt and Shoeboxed from Pro, Expensify inside a paid workspace, Dext on its one plan. Check for CSV export too; it works with any accounting software and survives cancelling.
