What our research says

Motion

Motion is for people whose day collapses whenever one meeting moves: hand it deadlines and priorities and it keeps re-fitting the task list into the calendar without being asked. That hands-off scheduling is the reason to pay $19 a seat, and also the reason to be wary — if you want to decide for yourself when to do things, the constant re-planning feels like being managed by your own to-do list.

Pros

  • Automatic rescheduling around calendar changes is the core and it works without prompting
  • Projects, tasks, meeting booking, docs and wiki share one per-seat subscription
  • Apps on web, macOS, Windows, iOS and Android, plus a documented REST API
  • Capacity planning on Business AI shows when a team is over-committed before the deadline
  • Free trial, so the scheduling behaviour can be judged before paying

Cons

  • No free plan; the price is per seat and the page is vague about monthly versus annual billing
  • AI features draw on a monthly credit pool per seat, so heavy use of chat and writer tools can run out
  • The auto-scheduler can over-rule your own choices if priorities and estimates are not kept accurate
  • Pricing page copy renders 'This plan is not available' in static HTML, which looks like a broken page to scrapers and some browsers

Toki

The pitch that actually holds up here is input tolerance: voice notes, screenshots and half-formed intentions all become calendar entries, which is more useful day to day than another time-blocking algorithm. It syncs properly with the calendars you already use and costs a fraction of Motion or Reclaim. The catch is that the listed prices were both flash-sale rates, so the real standing cost is unclear.

Pros

  • Handles voice notes, images, screenshots and vague requests, not just structured entry
  • Two-way sync with Google, Apple and Outlook instead of a separate silo
  • Available in LINE and Telegram alongside native iOS and Android apps
  • Cheap entry tier next to other AI schedulers
  • Triggers can watch outside events such as price changes and act on them

Cons

  • Both paid tiers were displayed at a flash-sale discount, so the standing price is unclear
  • Calendar sync is capped at 3 on free and 5 even on the top tier
  • No public API
  • Governed by Singapore arbitration, which is awkward for consumer disputes

Which one fits

Choose Motion if you need

  • Solo professionals and small teams with deadline-driven work and a calendar full of meetings
  • Managers who want task capacity and scheduling in one tool instead of a planner plus a project board
  • Anyone who already lives in a calendar and wants tasks to show up there as time blocks

Choose Toki if you need

  • People who capture plans by voice or screenshot rather than typing them
  • Anyone juggling personal and work calendars across Google, Apple and Outlook
  • LINE and Telegram users who want scheduling in a chat they already have open
